1. Introduction

InsightsPulse (“InsightsPulse,” “the Platform,” “we,” “us,” or “our”) is committed to protecting the privacy and confidentiality of its customers, website visitors, trial users, and registered users. InsightsPulse operates a Power BI Embedded and Tableau Embedded white-label analytics platform that enables organizations to securely share business intelligence dashboards with their teams, clients, and partners through a fully branded portal.

This Privacy Policy explains, in clear and comprehensive terms, what personal and business information InsightsPulse collects, how that information is used, stored, protected, shared, and retained, and what rights individuals have in relation to their information. By accessing our website at https://insightspulse.in/, registering for a free trial, or subscribing to any InsightsPulse plan, you acknowledge that you have read and understood this Privacy Policy.

2. Definitions

For the purposes of this Privacy Policy, the following terms shall have the meanings set out below:

  • “Platform” means the InsightsPulse website, white-label analytics portal, embedded dashboard services, and all related applications, APIs, and services made available by InsightsPulse.
  • “Customer” means the organization or individual that has registered for a trial or purchased a subscription to the Platform.
  • “User” means any individual authorized by a Customer to access or use the Platform, including administrators and dashboard viewers.
  • “Personal Information” means any information relating to an identified or identifiable natural person, such as name, email address, contact number, and job title.
  • “Customer Data” means any data, reports, dashboards, or business information uploaded, embedded, or processed by a Customer through the Platform, including Power BI and Tableau content.
  • “Processing” means any operation performed on Personal Information or Customer Data, including collection, storage, use, disclosure, and deletion.

3. Scope

This Privacy Policy applies to all individuals who interact with InsightsPulse, including website visitors browsing https://insightspulse.in/, individuals who register for the 15-day free trial, registered Users of paid subscriptions, Enterprise customers, developers and administrators who access the InsightsPulse API, and individuals who contact our customer support team via phone, email, or the online contact form. This Policy applies regardless of the device or channel used to access the Platform.

4. Information We Collect

InsightsPulse collects several categories of information in order to provide and improve its Services:

  • Personal Information, such as the name, business email address, and contact number provided during trial registration, account creation, or when submitting an inquiry through our Contact page.
  • Account Information, including login credentials, organization name, user roles, and permission levels assigned within the white-label portal.
  • Billing Information, including billing address, subscription plan selected (Basic, Professional, or Enterprise), invoice history, and payment confirmation details. Full card numbers are not stored on InsightsPulse servers; payments are processed through secure, PCI-DSS compliant third-party payment gateway providers.
  • Business Information, such as company name, industry, and details shared while requesting a demo or discussing white-label portal requirements.
  • Analytics Data, including how Users interact with dashboards, reports viewed, and general platform usage patterns.

5. Information Collected Automatically

When Users and visitors interact with the Platform, InsightsPulse may automatically collect certain technical information, including IP address, browser type and version, device type, operating system, referring website, pages visited, session duration, and general usage analytics. This information helps InsightsPulse maintain platform security, diagnose technical issues, and improve the overall user experience of the embedded analytics portal.

6. Cookies & Similar Technologies

InsightsPulse uses cookies and similar tracking technologies to operate and improve the Platform. These include essential cookies required for login and portal functionality, functional cookies that remember user preferences such as branding and display settings, performance cookies that measure page load and platform responsiveness, analytics cookies that help us understand usage trends, and marketing cookies used to measure the effectiveness of our website content. Users can manage or disable non-essential cookies through their browser settings; however, disabling essential cookies may affect the functionality of the Platform.

7. Analytics Services

InsightsPulse may use third-party analytics services, such as Google Analytics, to understand how visitors use our website and to improve our marketing content and platform performance. These analytics providers may collect information such as pages viewed, time spent on the site, and general demographic or geographic data. Any data collected by such providers is subject to their respective privacy policies.

8. How We Use Information

InsightsPulse uses the information it collects to provide and maintain the Power BI and Tableau embedded analytics services, authenticate Users and manage access permissions, process subscription payments and billing, deliver customer support and respond to inquiries submitted through our Contact page, improve platform performance and develop new features, communicate important service updates, detect and prevent fraud or unauthorized access, and comply with applicable legal and regulatory obligations.

9. Legal Basis for Processing

Where applicable law requires a legal basis for processing Personal Information, InsightsPulse relies on one or more of the following grounds: the performance of a contract with the Customer (such as delivering the subscribed Services), InsightsPulse’s legitimate business interests (such as improving the Platform and preventing fraud), compliance with a legal obligation, and, where required, the individual’s freely given consent, such as consent to receive marketing communications.

10. Sharing Information

InsightsPulse does not sell Personal Information or Customer Data. Information may be shared only where necessary, including with trusted service providers who support hosting, payment processing, customer support, and analytics on InsightsPulse’s behalf; with regulators, courts, or law enforcement agencies where required by law; and in connection with a merger, acquisition, or sale of business assets, subject to confidentiality safeguards. All third parties with whom information is shared are contractually required to protect such information in a manner consistent with this Policy.

11. Third-Party Services

The Platform integrates with third-party technologies, including Microsoft Power BI, Tableau, cloud hosting providers, authentication providers, and payment gateways, to deliver its embedded analytics functionality. These third-party providers operate under their own respective privacy policies, and InsightsPulse encourages Users to review the privacy practices of Microsoft, Tableau, and any payment processor used in connection with their subscription.

12. Power BI & Tableau Data

Customers retain full ownership of the dashboards, reports, and underlying business data that they connect to or embed through the Platform. InsightsPulse processes such Power BI and Tableau data solely to render, embed, and securely deliver dashboards within the white-label portal, and does not use Customer dashboard data for any purpose beyond providing the Services, unless otherwise agreed in writing.

13. White-Label Portal Privacy

Customers who operate a white-label analytics portal under their own branding may, depending on the nature of their use of the Platform, act as the Data Controller in respect of the Personal Information of their own end users, while InsightsPulse generally acts as the Data Processor, processing such information solely on the Customer’s documented instructions to deliver the Services.

14. International Data Transfers

InsightsPulse primarily hosts and processes data using secure cloud infrastructure, including infrastructure associated with Power BI Embedded services. Where data is transferred across borders, InsightsPulse implements appropriate contractual and technical safeguards to ensure that such information continues to receive an adequate level of protection consistent with applicable data protection laws.

15. Data Retention

InsightsPulse retains Personal Information and Customer Data only for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Following termination or cancellation of a subscription, Customer Data is generally retained for a period of up to ninety (90) days to allow for account reactivation or data export requests, after which it is securely deleted or anonymized, unless a longer retention period is required under applicable law.

16. Data Security

InsightsPulse implements commercially reasonable technical and organizational safeguards to protect Personal Information and Customer Data, including encryption of data in transit using SSL/TLS, role-based access control (RBAC) to restrict access to authorized personnel only, secure authentication mechanisms, continuous monitoring and activity logging, and regular data backups. While InsightsPulse takes data security seriously, no method of electronic transmission or storage is completely secure, and InsightsPulse cannot guarantee absolute security.

17. User Rights

Subject to applicable law, individuals may have the right to request access to the Personal Information InsightsPulse holds about them, request correction of inaccurate information, request deletion of their Personal Information, request restriction of certain processing activities, request portability of their data in a structured format, and withdraw previously given consent at any time. Requests may be submitted using the contact details provided in Section 25 of this Policy.

18. GDPR Compliance

Where the General Data Protection Regulation (GDPR) or UK GDPR applies to the processing of Personal Information, InsightsPulse aims to comply with the applicable requirements of such regulations, including the principles of lawfulness, fairness, and transparency. Enterprise customers who require a formal Data Processing Agreement (DPA) may request one by contacting InsightsPulse using the details provided in this Policy.

19. California Privacy Rights

Where the California Consumer Privacy Act (CCPA) or similar state privacy laws apply, eligible individuals may exercise applicable rights, including the right to know what Personal Information is collected, the right to request deletion, and the right to opt out of the sale or sharing of Personal Information. InsightsPulse does not sell Personal Information as defined under the CCPA.

20. Children’s Privacy

The InsightsPulse Platform is a business-to-business analytics solution intended for use by organizations and their authorized business Users. It is not directed at, nor intended for use by, children under the age of eighteen (18), and InsightsPulse does not knowingly collect Personal Information from children.

21. Third-Party Links

The InsightsPulse website and blog may contain links to third-party websites, including partner or reference resources. InsightsPulse is not responsible for the privacy practices or content of such external websites, and Users are encouraged to review the privacy policies of any third-party site they visit.

22. Changes to this Privacy Policy

InsightsPulse may update this Privacy Policy from time to time to reflect changes in its practices, technology, legal requirements, or the Services offered. Where changes are material, InsightsPulse will provide reasonable notice, such as by updating the “Last Updated” date at the top of this Policy or by notifying Customers via email. Continued use of the Platform following such updates constitutes acceptance of the revised Policy.

23. Data Breach Notification

InsightsPulse maintains internal incident response procedures designed to detect, investigate, and respond to potential data security incidents. In the event of a data breach that affects Personal Information or Customer Data, InsightsPulse will notify affected Customers and, where legally required, the relevant supervisory authorities, without undue delay and in accordance with applicable law.

24. Data Controller & Data Processor

For most Services provided through the Platform, the Customer generally acts as the Data Controller in respect of the Personal Information of its own Users and end customers, while InsightsPulse acts as the Data Processor, processing such information strictly to deliver the subscribed Services in accordance with the Customer’s instructions and this Privacy Policy. Enterprise Customers requiring a signed Data Processing Agreement may request one from the InsightsPulse team.
